Team management

Invite colleagues, set their roles, and remove access when someone leaves.

Team management

You can invite other people to your Costello workspace — for example, a front-desk manager or a business partner. Each person signs in with their own account and has a defined role.

Roles

RoleWhat they can do
OwnerEverything: billing, settings, team management, channels, knowledge base
AdminEverything except billing and deleting the workspace
MemberView conversations and activity; cannot change settings or connect channels

Each workspace has exactly one Owner. Ownership can be transferred to another Admin (see below).

Inviting someone

  1. Go to Settings → Team.
  2. Click Invite member.
  3. Enter their email address and choose a role.
  4. Click Send invite.

The invitee receives an email with a link to accept. If they don't already have a Costello account, they'll be prompted to create one first. Invitations expire after 7 days — if they don't accept in time, re-send from the same page.

Changing someone's role

  1. Go to Settings → Team.
  2. Find the team member and click Edit next to their name.
  3. Select the new role and save.

Role changes take effect immediately.

Removing a team member

  1. Go to Settings → Team.
  2. Click Remove next to the member you want to remove.
  3. Confirm.

Removed members lose access instantly. Their previous activity (conversations viewed, edits made) remains in the audit log. You can re-invite them later if needed.

Transferring ownership

Only the current Owner can transfer ownership to another Admin:

  1. Go to Settings → Team.
  2. Click the current Owner badge next to your name.
  3. Select Transfer ownership and choose the new owner.
  4. Confirm with your password.

After transfer, you become an Admin. There is always exactly one Owner per workspace.
