Set your clinic's opening hours and service menu so Costello always gives accurate availability and pricing.

Opening hours and services

The opening hours and services panel is where you enter structured data about your clinic — when you're open and what treatments you offer. Unlike a file upload or website crawl, this data is structured so Costello can query it precisely.

Why structured data matters

Text extracted from files or a website can be ambiguous. "We're usually open until 8pm on weekdays" leaves room for interpretation. Structured data is unambiguous: Monday–Friday 9 am–8 pm is a fact the AI can state confidently.

For opening hours and services especially, structured data produces more consistent, accurate answers than unstructured text sources.

Setting your opening hours

  1. Open Knowledge Base → Opening hours & services.
  2. Under Opening hours, set the days and hours you're open.
  3. For days you're closed, toggle the day off.
  4. Click Save.

You can add notes for individual days (e.g. "Bank holiday — closed" or "Late night Thursday until 9 pm"). These notes are included in Costello's replies when relevant.

Public holidays: Costello doesn't automatically close for bank holidays. If your clinic is closed on a bank holiday, either update the hours for that day manually or add a FAQ pair like "Are you open on [holiday]?" with the correct answer.

Setting your service menu

The service menu tells Costello what treatments you offer, their approximate prices, and any key details.

  1. Under Services, click Add service.
  2. Enter the service name (e.g. "HydraFacial MD"), a short description, and the price (or a price range).
  3. Click Add.

Repeat for each treatment you offer. You don't need to list every variation — main treatment categories with approximate pricing are enough.

Pricing tips

If you have a range (e.g. £80–£150 depending on treatment area), enter it as a range. Costello will tell customers the range and suggest they enquire for an exact quote.

If you run seasonal promotions, update the price in the service entry while the promotion is live, then revert it afterwards. Don't leave a promotional price in the service menu after the offer ends.

Treatments you don't want to discuss

If there are treatments you no longer offer but still appear on your website, do not add them to the service menu. Costello won't offer them unprompted, and if a customer asks, it will say you don't currently offer that treatment.

Updating after a price change

When your prices change, update the affected service entries. Costello retrains automatically after you save. Old prices won't persist after the retrain.

It's worth auditing the service menu every quarter alongside your pricing review.
